Myth: Scheduling Priorities & Tracking Progress

This week's article focuses on the importance scheduling priorities and tracking progress. I recently watched a rerun of a Dr. Phil show in which he advised a young woman who was convinced she'd be a millionaire someday that, while he agreed that she could someday be rich, she'd have to first create a road map that broke her journey down into steps she should take to reach her goals. The young lady rolled her eyes and Dr. Phil responded to her by saying, "There are two types of people in the world: winners and losers. Winners are winners because they do what the losers don't want to do." Despite its simplicity, it seems to me that Dr. Phil is right. Who would not enjoy the opportunity to be a millionaire? Not many people would turn that down. But while everyone wants to be rich, few are willing to to what it takes to enjoy that luxury -- starting with stilling down and creating priorities and the steps to accomplish them, and then tracking progress toward the goal. That's the grunt work -- the day to day small and mundane tasks that inch us ever so slowly toward our goals. It's not fun. But if we are to get anywhere in life, we have to do the grunt work first. While it's hard to get into the habit of scheduling priorities and tracking progress, once you get into the rhythm of doing so, it becomes second nature and begins to work for you in magnificent ways. If you have not taken this important step, now is the time. And it's easier than you think!! Here are a few tips to get you started in the habit of scheduling priorities and tracking progress.
1. Prioritize Tasks & Goals. Get into the habit of using whatever tools you're comfortable with to prioritize the tasks of each day. This can be done early in the morning or the night before depending on your personal preference and schedule. You can use something as simple as a day planner available at nominal cost from a local dollar store, or as sophisticated as a Palm Pilot or Blackberry. Whatever works for you, use it to record the priorities for the day and use your chosen tool to check them off when they are accomplished.
2. Track Progress. At the end of the day, it's indeed gratifying to see 2 or 3 check marks beside things that have been accomplished. If the day has been full of the unexpected (and most days are), carry over those priorities to the next day or remove them if they are no longer priorities. The point is to get into the habit of viewing each day as an opportunity to accomplish several of the most important things that need to be done that day, and to record the progress so you can look back over the week or the month and see that concrete steps have been made toward your goals. On those days and weeks when you feel like your going nowhere fast, it really helps to be able to see that, overall, you are going exactly where you want to go!
3. Rely On The Expertise Of Others To Get The Job Done. No one can do everything well. But for many Lifestyle CEOs, the temptation to do everything ourselves, either to save money or for the sheer pride of doing everything ourselves, is often difficult to resist. While it's admirable to be frugal and its impressive when you can do everything yourself, the reality is that, at the end of the day, if you've done everything yourself, you have not begun to scratch the surface of the full potential of your business. Why? Because if you are the only expert you are using to grow your business, you won't have enough time to grow your business! Expertise costs money, true. But then again, so does lack of expertise. And doing everything yourself is putting the short term finances of your business before its long term health. It's been said that one has to spend money in order to make money. I have observed many small business owners learn this the hard way. If you have absolutely no funds to hire anyone to do anything, perhaps putting off going into business for a while in order to do some planning would be wise. If you do have some funds, but not enough to hire all of the experts you need, start by hiring the ones you can -- in order of which ones are most important to you. For example, if you'd like both to have your labels professionally printed and your website professionally designed, but you only have money for one, hire the one that makes the most sense to you. If your business is Internet only, perhaps the website designer should take priority. If you sell wholesale to stores and have only a small Internet retail business, maybe the labels should be professionally created first. And don't forget to investigate the barter option. Perhaps you have some expertise to offer another Lifestyle CEO in exchange for something they can do for you.
All in all, setting goals, tracking them and allowing others to help you reach them is hard work! But it also allows you to organize for fun and fulfillment. After I wrote the first installment in this series, a reader named Katherine wrote me and said that she was so excited to see the Balance Myth series. She told me that "balance" reminded her of those guys who stand on logs in the middle of the water and balance on top of them while the logs are rolling underneath their feet. "The last guy standing might have great balance, but he will eventually fall," she said. Katherine's insight is right on. If by having great balance, we manage only to stay afloat a little longer than everyone else, what good is it in the long run?
I say organizing for fun and fulfillment is the way to go. Planning as best as possible for each day, and then taking each day as it comes is the only way to survive as a Lifestyle CEO.
